Leave Application by Email: Modern Format with 5 Real Examples

Email-based leave applications are accepted in most Central Government offices today, but the format is different from a paper application. Here is the email template that works.

Most Central Government departments now accept leave applications by email, particularly for short absences (Casual Leave, brief Earned Leave) and for emergency situations where physical filing is not feasible. But the email format is different from a paper application: the subject line, the addressee block, and the chain of acknowledgement work differently. This piece sets out the email template that gets through the establishment section without queries.

Email subject line

The subject line should be specific enough that the sanctioning authority can act on it without opening the email body. The format that works:

Leave application | [Name, Designation] | [Leave type] | [Dates]
Example: Leave application | Ramesh Sharma, ASO Section P-II | Earned Leave | 15-24 May 2026

The body template

To: [Designation of sanctioning authority] <[email]>
Cc: [Establishment Section] <[email]>; [Reporting Officer if different]

Subject: Leave application | [Name, Designation] | [Leave type] | [Dates]

Sir / Madam,

I request grant of [N] days of [leave type] from [start date] to [end date] (both days inclusive) for [purpose - one line]. My leave balance for this category as on date is [X] days.

During the period of leave, I shall be available at [address] and on mobile [number]. Charge of my work has been handed over to [name and designation of colleague].

Supporting documents (medical certificate / other) are attached.

I shall be highly obliged if my application is sanctioned.

What email applications do not replace

For long leave (more than 30 days), Maternity / Paternity Leave, CCL, EOL, and Study Leave, the email is the trigger but the original signed paper application still has to be filed with the establishment section before the leave commences. The email creates the date-stamp; the paper application creates the file record.
