Leave Extension Application: Format, Justifications That Work, Refusal Handling
When circumstances change during sanctioned leave, the right way to extend is by formal application before the leave expires. Here is the format and the justifications that get sanctioned.
Leave extension is the situation where an already-sanctioned leave is no longer enough and a further period is needed before resumption. Done correctly, with a written extension application filed before the original leave expires, it converts smoothly into a single leave spell. Done incorrectly, by simply not turning up on the joining date, it becomes unauthorised absence that has to be regularised through a separate procedure.
The cardinal rule
Always file the extension application before the original leave expires. Email is acceptable for the extension request from the place of leave. Original signed application can follow on return. The date of the extension application must precede the originally-sanctioned end date.
The format
Subject: Application for extension of [leave type] sanctioned vide [office order no/date] Sir, The [Earned Leave / Medical Leave / EOL / CCL] sanctioned to me from [original start] to [original end] vide office order no [ref]/[date] expires on [original end date]. Owing to [reason], I request extension of leave for a further [N] days from [next day after original end] to [new final date]. The leave may be debited from [same account / different account specified]. A [fresh medical certificate / supporting document] is enclosed. I shall be available at [address] and on mobile [number]. Yours faithfully, [Signature, Name, Designation, Date, place] Enclosure: [supporting document].
Justifications that work
- Medical: “Treating doctor has advised further [N] days of rest as recovery is incomplete.” Attach a fresh medical certificate dated within the last 7 days of the original leave.
- Family medical situation: “Hospitalisation of [parent/spouse] requires my continued presence at [city]. Brief medical update from treating hospital is enclosed.”
- Travel disruption: “Return travel disrupted by [specific event]. Enclosed: confirmed onward travel for [date].”
- CCL extension: “Child’s [exam / medical] situation requires continued presence; updated school/medical certificate enclosed.”
